How it works
Your assistant calculates totals, counts and averages directly across your documents in weclapp, for example sales invoices, sales orders, quotations or purchase orders. A report only reads and changes nothing in weclapp.
- Use an identity check to confirm you are working in the right system.
- Ask your question with a period, for example: “How did our revenue develop over the last 24 months, month by month, net in euros?”
- Check in the answer what the number refers to: period, document types, net or gross, currency.
Monthly series
For a series by month, quarter or year, the assistant assigns each document by its date in German time. An invoice dated 1 October at 00:30 therefore counts in October.
By default an answer contains up to 20 periods. If the period covers more, it keeps the most recent ones and states that older ones are missing. For long series, name the number of months explicitly, for example “all 24 months”.
Rankings and shares
For questions such as “Who are our five customers with the highest revenue in the last twelve months, and what share of total revenue do they have?” the answer returns the total across all customers alongside the five customers. The share therefore refers to the whole revenue, not only to the five shown.
If documents come in several currencies, the totals are listed per currency. For one figure across all currencies, ask for the amount in company currency.
When a question does not work this way
Instead of silently reporting zero, the assistant declines a report and names the reason when
- an invoice amount and a line item quantity are requested in the same report. Ask for them separately.
- the report should be grouped by month, but the chosen field is not a date.
- a date value is empty or cannot be read.
Dates such as 01.10.2026 or 2026-10-01 are read as the start of the day in German time.
If your question names a field that does not exist, the assistant only suggests a field with the same meaning, so never the tax amount for an invoice total.
Check a number
Ask for the basis of the number: period, document types, filters and number of documents. For a sample check, ask for individual documents and compare them in weclapp.
Good to know
- Reports are available on every plan.
- Very large periods hit a limit: at most 50,000 documents per report, 10,000 with line items. The assistant then names the reason, and you narrow the period.
- Reports calculate across documents such as invoices and orders, not across bookings. They do not replace financial accounting.
