Import price lists and maintain prices

Have your assistant apply sales and purchase prices from a list – with one preview covering every change.

What you can do

Give your AI assistant a price list, such as a supplier's new list. It matches each line to the right article or supply source and prepares every price change in one shared preview. It writes the prices to weclapp only after you approve.

This works for sales prices on articles and purchase prices on supply sources, including both in one preview. Every other price row – other quantity tiers, currencies, customer prices and periods – stays as it is.

Apply a price list

  1. Use an identity check to confirm you are working in the right system. Try new workflows in a Demo system first.
  2. Give your assistant the list: as a table in the chat, or as a CSV or Excel file if your AI client can read files.
  3. Say what should apply, for example: “Apply the purchase prices from this list for supplier Example Ltd from 1 November. The old prices should apply until the day before. Show me the preview first.”
  4. Answer follow-up questions. If a detail is missing or a line matches several prices, the assistant asks instead of guessing.
  5. Check the preview: article, supply source, old and new amount, currency, tier and period.
  6. Approve the change. Afterwards, ask for the result per article or supply source.

Changes you can make

  • Correct an amount: a wrong price is replaced, without history.
  • New price from a date: the old price ends the day before and the new one applies from the chosen day. The history is kept.
  • Add a price: for example a first price, a new quantity tier, a customer price or another currency.
  • Time-limited promotion: a price applies only until an end date. You decide explicitly whether the previous price applies again afterwards or this price simply ends.
  • End a price: a price gets an end date. The assistant does not delete price rows; if needed, do that directly in weclapp.

For a single new base price from a future date, or a visible percentage reduction with a strike-through price, a short request is enough, such as: “Reduce article 1001 visibly by 20 percent in the online shop from 1 December. Show me the preview.”

Good to know

  • One preview currently covers up to ten articles or supply sources with no more than 20 price changes in total. The assistant handles larger lists in several rounds, each with its own preview and approval.
  • Dates are calendar days. A price “from 1 November” applies from the start of that day.
  • Your approval covers the whole preview, but weclapp saves each article and supply source separately. If one step fails, prices already confirmed stay saved; nothing is rolled back automatically.
  • If an outcome is unclear, for example after a timeout: do not repeat the change. Have the affected prices read again and check them in weclapp. If the outcome remains open, use troubleshooting.
  • Purchase prices for a new supplier need a supply source first. The assistant creates it in a separate step, also with preview and approval.
  • For bulk imports with weclapp's import templates, the import/export wizard in weclapp remains the right tool.

Only people whose role allows it can write prices, for example with the Articles & stock or Purchasing templates. See team and permissions. The basic approval rules are in Review a preview and approve a change.
